SOLUTION:

Bar-code scanners and data capture devices have been used to verify assets and are located all over the country at Bank of Africa branches and other facilities. In addition to the Tracca core system, Bank of Africa has used the optional asset maintenance module which is available as an extension and has also signed a Service Level Agreement (SLA) to manage their asset indefinitely.

“Tracca`s solution was the only one way we saw that used bar-coding and scanner technology which meant that once the system was implemented, verifying ,updating and tracking of the assets was very easy, ”he said.” Bar- coding and scanning takes a lot of the labour involved. The alternatives required far more manual input to update data within the asset data base.”

Given that we have a huge number of assets that had to be initiated in the data base, this was a huge plus and made the process much simpler. We just have to import the data and allocate a bar code to it. Once all the assets have been bar-coded the asset verification exercise is a very simple and efficient procedure. Mr. Ranford (Head of Administration) said, in its consolidation process, Bank of Africa has found that bar -coding all of its assets has been hugely beneficial in accounting “This entire exercise has allowed us to cleanse our assets which has been crucial to good management of consolidation, ”Mr. Ranford said. “Once the assets were bar-coded you were physically identifying and asset where in the other packages, you were just saying that it existed and manually and entering the information into a data base.

Tracca has delivered a good return on investment for Bank of Africa. Not only has the company managed to save money in the managing its assets but now has a real time view of its entire inventory, there is far less loss through asset write-offs.

“Without a doubt, Tracca has been a tool that we have been able to use to drive down costs in numerous ways,”Mr. Ranford said. “I would say that costs alone have been reduced by 25-30 percent. We have saved time and money in staff and operations. There are now just two and half people running the assets where previously we would have had six.

“The end result will far outweigh what we have invested, “Sometimes when you see a product, you just know that it going to be good for your business. We had a feeling right from the start that this product was going to be successful and that Tracca was the right software for the job.”

HERBALIFE GHANA

THE ISSUE

Herbalife did not have effective way to track all its corporate and IT assets and therefore was challenged to improve its balance sheet and income statement. As important was the need to track tens of thousands of personal computers, telecom systems, servers etc. It simply had to find a way to effectively manage all its assets while continuing to grow the franchise and improve profitability.

THE SOLUTION

UNIVERSITY OF GHANA – CITY CAMPUS

Bar-coding greatly reduces the manpower and time it takes to conduct asset audits at University of Ghana-City Campus

Tracca’s replaced the university’s manual spread sheet based asset tracking system, with the state of- the-art bar-code- enabled data base solution.

THE ISSUE

Like many, City Campus has been continually striving to keep accurate records of its complete asset base. Assets were managed by the individual Faculties or Business Service Areas in varying spread sheet based formats. These asset registers did not always exist, and where they did exist, were often incomplete or their accuracy doubtful.

There was limited use of bar-coding technology for asset auditing or record updating. It was also difficult for the University’s Finance department to gauge the range and depth of asset information on those assets without a centralized asset data base.

TRACCA`S SOLUTION

Tracca has been progressively rolled out to City Campuses and faculties. City Campuses are utilizing Tracca’s Core and Bar coding modules in conjunction with a number of portable barcode scanners.

City Campus Senior Finance Officer – Fixed Assets, Mr. Abayomi, was the officer of the project. And he sees Tracca as a valuable tool for improving the management of their fixed asset and budget accountability.

The ongoing rollout of Tracca’s at University of Ghana- City Campus has reached a major milestone with completion of asset data captures within all the University’s campuses and faculties.

Barcode audits greatly reduced the manpower and time it takes to conduct these asset audits. Tracca’s barcodes have also been aligned with City Campus Financial database to assist with the cross referencing of asset locations in Oracle.

Barcode auditing has also significantly reduced the time taken to conduct periodic asset audits by the faculties. For example, one audit would normally have taken days was completed in just a few hours.

THE ISSUE

Procredit   had asset   and maintenance records in a variety of separate systems, many of which were built around spread sheet software and based on particular classes of assets. The number and variety of systems made it difficult obtain consolidated reporting across various divisions of the organisation, creating a significant administrative overhead with day-to-day asset and maintenance management.

The IT Department within procredit was faced with the administrative burden of supporting these disparate systems that they knew about, let alone all of the spread sheets and data bases they were still to uncover.

THE SOLUTION

Following a competitive bid process, Tracca was selected as the preferred vendor and implemented a solution based upon the Tracca’s Asset Management, Service Desk, Maintenance Management and Web Interface Modules.

The solution was designed to allow access to a wide range of users, ranging from general staff wishing to look up asset information or report a possible maintenance issue, through to management requiring status information.

Procredit determined that the preferred interface for all its users would be a web browser.
